Instead, you will be able to devote your entire attention to the one task that you are now working on.

Make sure you don’t have a big list of’stuff to do’ that keeps growing as time goes on and from which you pick and choose things at random. This can lead to frustration. Instead, create a detailed to-do list for each day of the week. Make sure that your daily to-do list is concise and manageable, and that you stick to it. You should make it a point to accomplish your daily to-do list on a daily basis. This brilliant advice comes from Mark Forster’s excellent bookDo it tomorrow*, which I highly recommend. I think this seems like a book about how to procrastinate effectively! However, it is actually a fantastic book that teaches readers how to be more productive and how NOT to postpone. New work that lands on our desks each day is one of the most detrimental factors to our productivity. As humans, we have a proclivity to become sidetracked by the ‘new shiny thing’ and believe that we are being really productive by ceasing what we are doing and focusing on the new work (which is then likely to get interrupted by the next new task and so on).

Instead, Forster recommends simply adding these additional jobs to tomorrow’s to-do list and continue with the work at hand until the new chores are completed.

You may then make plans for the next day, taking into consideration the additional chores that have been added.

The ability to see things from a different viewpoint will help you to plan a productive day rather than reacting constantly.

8. Write down every time you get distracted

This productivity trick has really transformed my life! Draw a line across everything on your daily to-do list. Every time you complete a task that was not on your to-do list, make a note of it beneath the line. Also provide the amount of time you spend on the activity. The following is an example of what could be written:

  • Facebook 20 minutes
  • General faffing/daydreaming 10 minutes
  • Researching’sudden brainwave’ 15 minutes
  • Checking statistics 5 minutes
  • Facebook 20 minutes 10 minutes spent reading the news

This is quite effective for two reasons. As a starting point, you will have an instant visual representation of how much time you are spending and how much time you are actively completing what you set out to achieve (which in itself is a real eye-opener). Second, you will begin to pause and consider whether it is necessary to perform something that is not on your to-do list. The very idea that you will be required to write it down will motivate you to avoid wasting time in the process. Furthermore, if you do become distracted, it will serve as a powerful motivator to return to the work at hand.

9. Write everything down that needs to be done

Another issue that prevents us from being productive is the sheer amount of information we have stored in our minds. The concept of writing down everything is something I learned from David Allen’s book, Getting Things Done*. His claim is that the greater the amount of information we retain in our brains, the less capacity we have for processing. To put it another way, the more information we keep in our minds, the less effective we become. Most of the time, we utilize our brains as storage units, storing all kinds of ‘things to do’ in them and so impairing our capacity to think clearly.

Having everything written down also makes it easier to comprehend what has happened and to make sound judgments about what should be done with it moving forward. We may come back to our objectives and determine whether or not the actions in question are worthwhile endeavors.
